This Privacy Policy applies to Kens Academy, Laymans Accounting, the Kens Communication website and online shop, and related services. It explains what personal information we collect, why we collect it, who we share it with, how long we keep it and the choices available to you. It should be read together with the Terms & Conditions.
1. Who is responsible for your information
1.1 Kens Communication, 303, Block B, Skyline Atlantis, Old Madras Road, Bengaluru, Karnataka 560016, India (referred to as “Kens”, “we” or “us”), operates Kens Academy, Laymans Accounting and the Kens Communication website and online shop.
1.2 Kens Communication is responsible for personal information relating to people who visit our website, enquire about our services, register for courses, start software trials, purchase products or services, or hold accounts with us.
1.3 When a Laymans Accounting customer enters details of their own customers and suppliers into the software, that customer decides why and how those details are used. Kens Communication processes that information on the customer’s behalf and on the customer’s instructions to provide the service, while also meeting its own applicable legal and security obligations.
2. Information we collect
2.1 Depending on how you use our services, we may collect the following categories of information:
Identity and contact information: full name, business name, email address, mobile number, billing address and state.
Account and registration information: username or account identifier, email address, password hash, course enrolment details, business name, plan and activation-key status, and PAN or GSTIN where provided or required for the service.
Order and payment information: products or plans ordered, order history, invoice details, payment status, transaction reference and payment confirmation. Payments are processed by Razorpay or another payment provider. We do not receive or store your card number, UPI PIN, banking password or other payment credentials.
Kens Academy learning information: course enrolment, course access and progress information, and communications relating to courses.
Laymans Accounting business records: invoices, bills, customer and supplier names, addresses and GSTINs, amounts, GST payments, settings, bank or UPI details that the user chooses to print on invoices, and uploaded logos or other business information.
Sign-in and security information: IP address, browser details, session information, sign-in times and activity logs used for account security, the one-device rule, sign-in alerts and abuse prevention.
Trial-verification information: one-way hashes or protected identifiers derived from email address, PAN and other trial eligibility identifiers, and the IP address from which a free trial began.
Communications: enquiries, support messages, account notices, activation keys, receipts, deletion notices and email delivery logs.
2.2 We collect information that you provide directly, information generated when you use our services, and limited information received from payment or service providers where necessary to complete a transaction or provide the service.
2.3 We do not sell personal information, display advertising within Laymans Accounting, or use customers’ accounting records for advertising profiling.
3. How we use information
3.1 We use personal information to create and administer accounts, register students, provide course and software access, process orders and payments, issue invoices and activation keys, send service communications, respond to enquiries, provide support, maintain security, prevent duplicate or fraudulent trials, improve our services, and comply with legal obligations.
3.2 We process Laymans Accounting business records to provide the software functions requested by the customer, including invoices, reports and GST preparation files. We do not use those business records for advertising profiling.
3.3 We may use aggregated or de-identified information that does not identify an individual to understand service usage and improve our products.
4. Data retention and deletion
4.1 Free-trial accounting data: A Laymans Accounting free trial lasts 30 days. At the end of the trial, the account has a further 30-day read-only period for viewing, printing and downloading records. If no paid plan is purchased within that additional period, the trial account and its operational accounting records are permanently deleted from the live Microsoft Azure production environment. We email a notice and a reminder before deletion. Users must download their data before the read-only period ends.
4.2 Paid subscription accounting data: Your accounting records (sales, purchases, expenses, receipts and ledgers) are your own business records. For a paid subscription that is renewed every year, we keep the latest three financial years; the records of an older financial year are deleted on 30 June of the third year after that year began. If a paid subscription ends and is not renewed, the account is read-only for 30 days and then locked (downloads remain available), your records are kept through the next financial year after the subscription ended, and are then permanently deleted on the following 30 June.
4.3 Notice before deletion: before records or an account are deleted, we email the account owner a notice about 45 days earlier and a reminder about 7 days earlier, and provide a download facility (“Download all my data”). We do not delete records unless the first notice was sent at least 30 days earlier. Customers are responsible for downloading and preserving their own records for their own statutory record-keeping obligations. Deleted records cannot be restored.
4.4 Account information: When operational trial or paid-plan data is deleted under sections 4.1 to 4.3, the associated account profile and account information are also deleted, except for the limited information described in sections 4.5 and 4.6. A customer who buys a new plan later sets up a new account with a new activation key.
4.5 Trial-prevention identifiers: We retain one-way hashed identifiers derived from email address, PAN and GSTIN, where provided, for 12 months after trial registration to enforce the one-trial-per-business rule and prevent abuse, and then delete them. The IP address from which a trial began is kept only briefly (currently about two days) to limit repeated sign-ups from one network, and is then removed. These identifiers are kept separately from the accounting records and are not a copy of the user’s accounting data. Hashing does not necessarily make information anonymous where it can still be linked to an individual.
4.6 Kens Communication’s own records: Kens Communication’s own subscription, order, payment, tax invoice and credit-note records are held in the Kens Accounting System and retained for the period required by applicable law (currently up to eight years). Within Laymans Accounting itself, order records, activation-key records and the deletion log are kept for 12 months and then removed. Deletion of a customer’s accounting records does not require Kens Communication to delete its own statutory transaction records, and those records do not include the customer’s invoices, customer records, supplier records or accounting database.
4.7 Backups: The Laymans Accounting database is backed up automatically. Backups are currently retained for approximately 7 days and will not be retained for more than 35 days. As a result, data deleted from the live production environment may remain in a protected backup until that backup expires. Backups are not used to restore a deleted customer account except where necessary for disaster recovery or legal compliance, and expired backups are deleted or overwritten through the backup cycle.
4.8 Earlier deletion: You may request deletion earlier by contacting support@kenscommunication.com. We will consider the request subject to operational feasibility and any information we are required or permitted to retain by law.
4.9 The retention periods above concern data held by Kens Communication. Users remain responsible for keeping their own statutory business records and backups.
5. Payments and payment security
5.1 Online payments are processed by Razorpay or another authorised payment gateway.
5.2 Kens Communication receives payment confirmation and relevant transaction references but does not store card numbers, UPI PINs, banking passwords or payment credentials.
5.3 Payment providers process payment information under their own privacy and security terms.

11.4 Some information may need to be retained where required by law or for legitimate purposes such as tax records, security, fraud prevention, legal claims or dispute resolution. We will explain where a request cannot be fully met for such a reason.
11.5 If you are not satisfied with our response, you may use the grievance contact in section 14 and may approach the competent authority or forum available under applicable law.
12. Customer and supplier information entered into Laymans Accounting
12.1 The Laymans Accounting customer is responsible for having the necessary authority and legal basis to enter personal information about its own customers, suppliers, employees or other individuals into the software.
12.2 The customer determines why and how that information is used. Kens Communication processes it on the customer’s behalf and on the customer’s instructions to provide and support the service, subject to Kens Communication’s own legal and security obligations.
12.3 An individual whose details have been entered into a customer’s accounting records should ordinarily contact that business first regarding the business’s use of their information.
